Restoration Estimator & Claims Specialist

Our client is looking for a Restoration Estimator & Claims Specialist to manage restoration estimates and insurance claims from initial write-up and documentation through approval and final payment. They operate in the property restoration industry, providing comprehensive solutions for property damage, remediation, reconstruction, and recovery.
This role is ideal for a detail-oriented professional with hands-on Xactimate experience and a strong understanding of property insurance claims. The successful candidate will prepare accurate estimates, assemble complete claim files, communicate with adjusters and clients, manage supplements and discrepancies, and maintain consistent follow-up until every file reaches closure.
The position plays a significant role in the company's cash flow, managing an estimated $2β4 million in written and collected volume annually.
Responsibilities
- Prepare complete and accurate Xactimate invoices for restoration projects within 24 hours of job completion.
- Create accurate sketches and scope documentation according to restoration industry and insurance carrier standards.
- Compile supporting documentation, including photos, moisture logs, signed service agreements, and other required claim records.
- Submit complete estimate and documentation packages to insurance carriers or adjusters within 48 hours of job completion.
- Maintain a structured follow-up schedule for all active insurance claims.
- Track each claim throughout review, approval, and payment until the outstanding balance is collected in full.
- Identify and address claim discrepancies, supplemental estimate requirements, and adjuster objections that may delay payment.
- Communicate directly with clients regarding their financial responsibility on insurance-related projects.
- Manage invoicing, collections, and payment follow-up for private-pay projects.
- Maintain detailed and accurate records of all communications with clients, insurance carriers, adjusters, and internal team members.
- Monitor and respond to both shared company and individual email inboxes.
- Collaborate closely with Project Managers to ensure project scope, documentation, estimates, and claim status remain aligned.
- Serve as a professional point of contact for clients and insurance representatives throughout the claims process
Requirements
- Hands-on experience using Xactimate for estimating and sketching.
- Xactimate Level 2 (Proficiency) certification is required.
- Previous experience with insurance claim closure within property restoration, construction, or a closely related field.
- Strong understanding of the property insurance claims lifecycle, including estimate/invoice submission, supplements, adjuster negotiations, and payment collection.
- Excellent written and verbal English communication skills.
- Strong attention to detail and documentation accuracy.
- Excellent organizational and time-management abilities.
- Proven ability to manage a high volume of active files and consistently meet deadlines.
- Strong customer service skills with a professional phone and email presence.
- Comfortable managing shared email inboxes and collaborating with Project Managers and administrative teams.
Qualifications
The following qualifications are preferred but not required:
- Xactimate Level 3 (Mastery) certification.
- Experience handling claims involving water damage, mold remediation, fire restoration, reconstruction, or abatement.
- Experience with restoration CRM or job-management platforms such as DASH, Encircle, CompanyCam, Jobber, or similar systems.
- IICRC certifications.
