The Administrative Assistant will perform all office administrative tasks related to customer calls, job management and tracking, scheduling of jobs and customer satisfaction activities. Managing accounts receivable in order to improve cash flow. Perform general office duties such as drafting correspondence, filing, creating reports and estimating. If you are self-motivated, organized and have outstanding customer service skills, you could thrive in this environment!
Key Responsibilities
· Responsible for clear and efficient project communication with the customer and project stakeholders
· Scheduling/ dispatching leads with project managers/ crew members
· Daily project(s) oversight to include monitoring status, audit, and work-in-progress
· Create preliminary and final estimates using estimating software
· Review and validate job site documentation
· Work closely with Project Managers to ensure thorough and accurate project documentation from beginning to end
· Managing accounts receivable
· Maintain file system and company calendar
· Maintain new hire/ employee documentation
· Collaborate and assist with other departments, as needed
Position Requirements
· High school diploma/GED (preferred)
· At least 1 year of customer service and/or office-related experience
· Ability to multitask and to remain detail orientated
· Must be knowledgeable in relevant computer applications
· Xactimate estimating software experience (preferred)
· Property Insurance/ Claims Management experience (preferred)
Skills/Physical Demands/Competencies
This is a sedentary role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law.
