Position Overview
Seeking a customer service representative to add to our team!
Successful candidates will have experience in an office setting. Position assists the business owners, office manager, and technicians with a variety of tasks including processing invoices, collections, customer service follow up, answering phones, scheduling jobs, filing/scanning, using multiple types software and interfacing with customers and suppliers. Experience with MS Office & Excel, Google Suite, and CMS systems are a must. Prefer strong verbal phone skills, writing, organization, and problem-solving skills. Minimum 2-5 years office experience. Some previous phone sales experience required.
Job Responsibilities
- Must have a pleasant demeanor and work well with others
- Must have strong and clear verbal communication skills
- Must have some collections experience
- Answer telephone calls, soft sales to book jobs, responds to emails, and resolves routine and complex inquiries - Minimum 5 years phone sales experience
- Schedule all jobs in company CMS system to capture relevant customer and job information
- Flexibility needed. We are an on-call restoration business. We are looking for an individual able to occasionally work additional hours as needed during heavy weather/storm/polar vortex events (seasonal).
- Follow-up with customer on work performed
- Contact customers to collect payments/billing using Quickbooks
- Prepares correspondence, memoranda, reports, etc.
- Initiates routine and non-routine correspondence
- Files/scans administrative paperwork
- Operates a personal computer and appropriate software packages or its equivalent
- Facilitates company newsletter with Constant Contact using pre-written blog material
- Contributes to marketing using social media to post company activities/newsletter, and brand messaging
- Assist technicians as needed within the company
- Responsible for managing inventory on a regular basis to re-order supplies
- Understands the ServiceMaster brand, operating systems and all the services we offer (training provided)
Job Requirements
- Associates degree preferred. High school diploma/GED accepted depending on skill levels
- Previous administrative assistant/office experience required
- Experience and skill with Microsoft© Office application (Word, PowerPoint, and Excel) required
- Experience with Google Docs, Sheets required
- Comfortable with using multiple types of software
- Personal time management and organizational skills
- Strong verbal and written communication skills
- Dependable and adaptable to operate within a fast-paced work environment
- Ability to manage highly confidential information

- Move up to 20 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects.
- Sitting for long periods of time while using office equipment such as computers, phones etc.
- Fingering and Repetitive motions; such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment.
- Close visual acuity to perform detail-oriented activities at distances close to the eyes, as well as visual acuity to perform activities such as preparing and analyzing data, viewing computer screen.
- Be exposed to various inside working conditions: The change of building environment such as with or without air conditioning and heating.
